Using List Advanced Search Web Part

To use List Search Advanced, do the following:

1. Choose the list or list rollup data view to search hw11b013.jpg
2. Once a list is selected, choose a field name to define search criteria. Enter a comparison value. The values listed depend on the type of field chosen. Then enter a value. hw11b015.jpg
3. If additional criteria is to be entered, select AND or OR and another line will appear. Repeat step 2.
4. If two or more lines need to be grouped, select the lines by checking the box in the left column of the criteria line. Once selected, click the Group box. Blue indicators will appear to the left of the field name to show that the lines are grouped. To ungroup, select the lines and click Ungroup. hw11b017.jpg
5. Why might you need to group? Grouping allows you to control the order in which the search criteria are processed. For example, say you wanted to find Announcements that contain the word “SharePoint” and were created either by Jane Smith or Larry Mason. If you entered the criteria as described (i.e., the Body criteria first and then the two Created by criteria with the one for Larry entered last) without grouping, some announcements created by Larry that don’t contain the word SharePoint may appear in the results. If you group the two Created by criteria, you will get the correct results. Another example is the one shown in the screen shot above – if the Company starts with “A” criteria were entered first and no grouping were used, the results could include an item created by Larry with Company that starts with something other than “A”.
6. To delete a criteria line, select it and click Delete.
7. Select the View to use to determine which columns will be shown in the search results. Note: any filtering configured on the View will not be applied. However, additional criteria can be specified to refine/filter the search results.
8. Click Reset to clear the search criteria and start again, if needed.
9. When ready, click Find to execute the search. The search results are displayed. hw11b019.jpg
10. In the search results display, click any column heading to sort the results by that column. Click again on the same heading to reverse the sort order.

To see the details of an item, click the linked item.

NOTE: the column containing the link to the item is specified in the view used to format the search results display. If this view doesn’t include a column with a link to the item, no link will appear in your search results list.
