How to View Wiki Libraries with Tree View

WikiView.jpgWiki libraries can quickly become unmanageable with many, many pages. However, by using Tree View on a page, you can deliver a cleaner interface to your users. They can view Wiki pages which are contained in the Wiki Library through a familiar look and feel similar to Windows Explorer or a file share view. Just by clicking on the page name in the tree hierarchy on the left, they can see the contents of that page in the right side of the window pane.

Users can create new wiki pages (depending on how you have configured the web part and their permission level), export pages to Excel, and set an alert on the library by using the New and Action buttons on the toolbar.

1. From the left pane of Tree View, click the plus sign to expand a folder and display all of its subfolders. PicLibView.jpg
Select a folder to display its contents in the right pane. In the example above, the user clicked on the top level of the tree view and all the folders within that level appear.

However, when the user clicks on a folder name, the view changes to display only the items within that folder.

To use Tree View to show SharePoint List columns in multiple tree levels, you first need to configure your list so that it is grouped by the columns that you want to use in Tree View.

Settings.jpgFor example, a Task List contains Status and Priority columns. First open up the list settings and create or modify the view that you want to use.

Set the Group By section so that tasks are:

  1. grouped by the Priority column
  2. then grouped by the Status column
  3. groups are showing Collapsed by default and 30 groups per page

When viewing the list after it has been configured this way, all of the groups show up on the List as shown in the screenshot below:

ListView.jpgUsers will need to click the Plus symbol next to the column name to see the contents within that group.

Now that your List View is configured to group by these columns, you can set up Tree View to show the groups as hierarchies in the tree level as displayed below:

TreeView.jpgWith Tree View, they can see the groups at a glance in a more familiar look and feel (it’s similar to a file share or Windows Explorer desktop view) and simply click on the group name so that the contents within that group displays in the right side of the window.

BCS.jpgYou have a variety of options when configuring Tree View, one of which is using a Microsoft Business Connectivity Service (BCS) connection as your data source. Depending on your choices, you see different options. You have two other data sources from which to choose:

1. Data Source = Microsoft Business Connectivity Services When you choose BCS as your data source, your options appear on screen as shown here. Details on each option are described in the table below.
2. Data Source Settings

Use the External Content picker icon Picker.jpg to the right of the Data Source Settings box to select non-SharePoint content in your environment. All available external content types appear for you to select.

If there are no external content types from which to pick, you will see an error message:
External Content Types are not available. Contact your system administrator.

3. Available columns All in your external list will show on the left side of the windowpane. Simply highlight the column(s) that you want to display on Tree View and use the > arrow to move them into the selection box.

4. First group by column This is your option to group items within your external content list by one of the columns. Grouping by a column sets up Tree View to display that grouping as a top level with items in that group as sub-items similar to Windows Explorer displays content in folders.04.jpg
5. Show Item in Ascending or Descending Order Select either radio button if you the data to be ordered A-Z or Z-A in the Tree View display.05.jpg

8. Number of items per page This option is only enabled when you select a document or picture library. Tree View uses this number to display the number of items per page when a tree node is selected. 08.jpg

When you choose a SharePoint List as your data source, your options appear on screen as shown here. Details on each option are described in the table below.

2. Site URL

Enter the URL of a site that contains a list you want to display in Tree View.

NOTE: Site URLs can be absolute (http://domain/site) or relative (./site).

3. List Name Pick from the lists in the drop-down menu. The lists that appear in the drop-down menu are lists on this site.
4. Select views to display results

You can select one, multiple or all views available for the selected list. Selecting multiple or all views makes these views available to the user in the Display view drop-down list at the top right of the right pane.

NOTE: For lists that do not contain folders, you can only see a tree structure for a view if the selected view has been configured to group list items by a column.

5. Number of items per page Tree View uses this number to display the number of items per page when a tree node is selected. This choice will override the Item Limit section of the List view setting.
5. Automatically expand level Select this check box to automatically expand the tree nodes up to 3 levels when the web part renders on a page.
6. Organize results by Select this check box to display information in the left pane of the web part by folder hierarchy or by the grouping configured in the selected list view.
